This collection contains petitions for land grants in California prior to its becoming a state.
The collection is organized into volumes of handwritten books in Spanish with an English translation counterpart. After these books and a Maps section, there is a typed index (Printed Grantee Index) that we will be capturing the records from. For the Spanish books (Original Form Type) we will be keying the page number and a year for each page. For the English translation books (Translation) we will only be capturing page number.
When the collection is completely keyed, the record captured from the Index will link to the Spanish and English books, as well as any corresponding maps.
Be sure you are keying from the correct "Printed Grantee Index." Details on how to identify this form type may be found in the Form Type field help.

Choose the "Maps" form type for images with hand drawn maps.

Page Number
Key the page number as seen on the record. Page number may be found in the top left or right side of each page of a book.
Keying Image Samples
Original
Choose the "Original" form type for images that are written entirely in Spanish. The "Original" form type will also be in book form with lined pages and page numbers in the top left and right corners of the image.

Key the page number as seen on the record. Page number may be found in the top left or right side of each page of a book. Most images will have two page numbers per image. Key each page number as a new section.
Year
Key the year as seen on the record. Key one year for each numbered page of a book. Key the earliest year available on the page. On images with the word "Espediente" followed by a number beneath this, key the year by or close to the word "Espediente".
Keying Image Samples
Printed Grantee Index
Choose the "Printed Grantee Index" when the following criteria are met on the image:
- The words "Index to RECORDS of SPANISH ARCHIVES, State Archives" are written across the top.
- The fourth column from the left is labeled "Grantee or Petitioner."
- The names in the column "Grantee or Petitioner" are in alphabetical order.
Note: Do not mistake index's found in the "Original" and "Translation" form types for a "Printed Grantee Index."
Additional Image Sample
Prefix
Key any titles before the given name, such as "Dr," "Mr," or "Mrs," of the primary person as seen on the record using the dictionary provided for assistance. Only prefix values should be keyed into the prefix field. Name may be found in the column labeled "Grantee or Petitioner." Key each name in the column as an individual record, even duplicate values. Only key name from images where the "Grantee or Petitioner" column comes before the "Name of Grant" column. The names on the correct images to key should be in alphabetical order.
Given
Key the first name or initial and any middle names of the primary person as seen on the record using the dictionary provided for assistance. Initials should be keyed with a space between them and without entering periods. Name may be found in the column labeled "Grantee or Petitioner." Key each name in the column as an individual record, even duplicate values. Only key name from images where the "Grantee or Petitioner" column comes before the "Name of Grant" column. The names on the correct images to key should be in alphabetical order.
Surname
Key the surname as seen on the record using the dictionary provided for assistance. Pressing F3 will copy the surname down from the above record. Name may be found in the column labeled "Grantee or Petitioner." Key each name in the column as an individual record, even duplicate values. Only key name from images where the "Grantee or Petitioner" column comes before the "Name of Grant" column. The names on the correct images to key should be in alphabetical order.
Suffix
Key all titles, such as "Jr" or "III", following the surname of the primary person as seen on the record. Name may be found in the column labeled "Grantee or Petitioner." Key each name in the column as an individual record, even duplicate values. Only key name from images where the "Grantee or Petitioner" column comes before the "Name of Grant" column. The names on the correct images to key should be in alphabetical order.
County
Key the county as seen on the record using the dictionary provided for assistance. County may be found in the column labeled "County."
Name of Grant
Key the name of grant as seen on the record. Name of grant may be found in the column labeled "Name of Grant." If there are preceding zeros in a numbered field, do not key them. Example: "02" should be keyed as "2".
Original Volume Number
Key the original volume number as seen on the record. Original volume number may be found in the column labeled "Volume" on the far left of the image. The original volume number will be in the row labeled "O." If there are preceding zeros in a numbered field, do not key them. Example: "02" should be keyed as "2".
Original Grant Page
Key the original grant page as seen on the record. Original grant page may be found in the column labeled "Page" on the far left of the image. The original grant page will be in the row labeled "O." If there are preceding zeros in a numbered field, do not key them. Example: "02" should be keyed as "2".
Translation Grant Volume
Key the translation grant volume as seen on the record. Translation grant volume may be found in the column labeled "Volume" on the far left of the image. The translation grant volume will be in the row labeled "T." If there are preceding zeros in a numbered field, do not key them. Example: "02" should be keyed as "2".
Translation Grant Page
Key the translation grant page as seen on the record. Translation grant page may be found in the column labeled "Page" on the far left of the image. The translation grant page will be in the row labeled "T." If there are preceding zeros in a numbered field, do not key them. Example: "02" should be keyed as "2".
Expediente Number
Key the expediente number as seen on the record. Expediente number may be found in the column labeled "Expediente Number" next to the county on the right of the image. If this column is blank, key the number found in the column labeled "Expediente Number" located in the last column on the right of the image. If both are blank, you may leave this field blank. If there are preceding zeros in a numbered field, do not key them. Example: "02" should be keyed as "2".
Diseño Volume Number
Key the diseño volume number as seen on the record. Diseño volume number may be found in the column labeled "Diseño Vol." in the far right of the image. If this column is blank, you may leave the field blank. If there are preceding zeros in a numbered field, do not key them. Example: "02" should be keyed as "2".
Diseño Page
Key the diseño page as seen on the record. Diseño page may be found in the column labeled "Diseño Page" in the far right of the image. If this column is blank, you may leave the field blank. If there are preceding zeros in a numbered field, do not key them. Example: "02" should be keyed as "2".

Translation

Index
Choose the "Index" form type when the image is of an internal index. An Index usually contains names (often in alphabetical order) with a corresponding page number so as to find the individual listed. Some indexes have alphabetical tabs on the right or left margin.

Microfilm
Choose the "Microfilm" form type for all images that contain information about the microfilm reel. These are images that were introduced to the collection when it was microfilmed, and are not part of the registers. See the wiki page for examples.

Cover page, Section header, etc
Use the "Cover page, Section header, etc' form type for images that do not contain data, but might be interesting to look at because they provide context for the image set. Example: historical notes, affidavits, etc.

Use the 'Image with no data' form type for images that do not contain data or any useful context that might be interesting for someone to look at. Example: An image containing a blank background.
