Project Instructions
This collection contains records of land purchased in New South Wales, Australia from 1857-1859. The images are TWO PAGE spreads, typically with names on both the left and right sides. Because the collection contains application, lease and purchase records, information to be keyed is not always uniformly laid out. The records are all handwritten in hand drawn tables with one exception where the information is written in a pre-printed form.

When ditto marks are present for dates or names, copy the information down. Where the date is in the header, apply the date to all records on the image. If the date is represented for one record, but there are no ditto marks for other records, do not copy down.

Unlike other projects, images with the word 'Index' in the header will be keyed where there are dates available. Do not key "Appendix" images, which have names with page numbers and no dates.

Choose the "Record" form type for images with names to key. "Record" images will sometimes have the word 'Index' in the header. Key these records wherever there are dates available. Do not key "Appendix" images, which have names with page numbers and no dates.

Keying Image Samples


Prefix

Key any titles before the given name, such as "Dr," "Mr," or "Mrs," of the primary person as seen on the record using the dictionary provided for assistance. Only prefix values should be keyed into the prefix field.

Given

Key the first name or initial and any middle names of the primary person as seen on the record using the dictionary provided for assistance. Initials should be keyed with a space between them and without entering periods. If the same name appears on an image, key it once per image.

Names are typically found in a column labeled "Name of Promisee," "Name," "Grantee," or something similar. On images where the name is not in a labeled column, it can typically be found at the far left of the record.

Surname

Key the surname as seen on the record using the dictionary provided for assistance. If the same name appears on an image, key it once per image.

Suffix

Key all titles, such as "Jr" or "III", following the surname of the primary person as seen on the record using the dictionary provided for assistance.

Residence Place

Key the residence place as seen on the record using the dictionary provided for assistance. Separate any geographical locations with a comma. Ex: Arberdeen, New South Wales.

Residence place is typically found in a column labeled "Residence" or "Situation." On images where the residence place is not in a labeled column, it can typically be found after or under the name of the primary person.

Event Month

Key the month as an abbreviation from the event date using the dictionary provided for assistance. Event date is typically found in a column labeled "Date of Order" or "Date of Receipt." On images where the event date is not in a labeled column, it can typically be found after the name of the primary person and the residence place. See image sample for clarification.

Event Day

Key the day from the event date as seen on the record. Event date is typically found in a column labeled "Date of Order" or "Date of Receipt." On images where the event date is not in a labeled column, it can typically be found after the name of the primary person and the residence place. See image sample for clarification.

Event Year

Key the year from the purchase date as seen on the record. Event date is typically found in a column labeled "Date of Order" or "Date of Receipt." On images where the event date is not in a labeled column, it can typically be found after the name of the primary person and the residence place. See image sample for clarification.

Appendix

Choose the 'appendix' form type when the image is of an internal appendix. An appendix usually contains names (often in alphabetical order) with a corresponding page number so as to find the individual listed. Some appendixes have alphabetical tabs on the right or left margin.

Title Board

Choose the "Title Board" form type for the title images that appear at the begining of a book or roll.

Use the 'Cover page, Section header, etc' type for images that don't contain any data, but might be interesting to look at because they provide some type of context for the image set. For instance, historical notes, affidavits, and so forth.

Use the 'Image with no data' type for images that don't contain any data or any useful context that might be interesting for someone to look at. For instance, an image containing only the blank background or an image with a microfilm target on it.

Microfilm

Choose the "Microfilm" form type for all images that contain information about the microfilm reel. These are images that were introduced to the collection when it was microfilmed, and are not part of the registers. See the wiki page for examples.
