Project Instructions This collection contains gazettes published weekly as the official newspaper of the government by New Zealand. It contains bankruptcy notices, company notices, appointment and release of receivers/managers, applications for winding up/liquidations, appointment and release of liquidators, meetings and last dates by which to prove debts or claims, removals, cessation of business in New Zealand, partnership notices, land transfer notices, charitable trusts notices, friendly societies and credit unions notices, incorporated societies notices, general notices, changes of name, nurses, doctors and teachers registers, justice of the peace, native land court dealings, native adoptions, military notices and more.

Keying Helps

Similar to newspaper articles, keying this project will require some reading in order to extract the desired fields. Only key data from articles when at least one name is present. If a name appears multiple times, only key the name once.

All images with names to be keyed should be classified as "Gazette Page With Names".

If your article or series of articles continues onto a second image, you may copy down any relevant information to all appropriate individuals.

If your image contains two or more columns, key from column one down, and then column two down, etc.

What NOT to key

Do not key indexes including "Lists of monies received by the Government Printer." Do not key "Private Advertisements" or "Conveners of Quarterly & Special Licensing Courts."

Do not key the names of authors (usually in all caps). In "General Abstract, Liabilities & Assets" list for companies, do not key the managers name who is noted for swearing to its truthfulness. If only the manager, accountant and JP are listed on the image (they will be in all caps), do not key the article.

Publication Month

Key the month in its three-letter abbreviation from the publication date using the dictionary provided for assistance. The publication date is the date the gazette was published. Publication date will appear at the beginning of a new issue of the paper. Publication date will be in bold type and appear larger than the typeset of the articles. It is typically near the phrase "Published by Authority" and centered on the page near the top.

Prefix

Key any titles before the given name, such as "Dr," "Mr," or "Mrs," of the primary person or persons as seen on the record using the dictionary provided for assistance. Only prefix values should be keyed into the prefix field. Do not key ranks. 

If a name appears multiple times within an article, only key it once. Only key the name of the individual or individuals to whom the record or article applies. Do not key the names of authors often listed at the end of articles. We will also not usually key the names of Mayors, Governors, etc., unless the article is specifically about them.

Given

Key the first name or initial and any middle names of the primary person as seen on the record using the dictionary provided for assistance. Initials should be keyed with a space between them and without entering periods.

If a name appears multiple times within an article, only key it once. Only key the name of the individual or individuals to whom the record or article applies. Do not key the names of authors often listed at the end of articles. We will also not usually key the names of Mayors, Governors, etc., unless the article is specifically about them.

Surname

Key the surname as seen on the record using the dictionary provided for assistance.

If a name appears multiple times within an article, only key it once. Only key the name of the individual or individuals to whom the record or article applies. Do not key the names of authors often listed at the end of articles. We will also not usually key the names of Mayors, Governors, etc., unless the article is specifically about them.

Suffix

Key all titles, such as "Jr" or "III", following the surname of the primary person as seen on the record using the dictionary provided for assistance.

If a name appears multiple times within an article, only key it once. Only key the name of the individual or individuals to whom the record or article applies. Do not key the names of authors often listed at the end of articles. We will also not usually key the names of Mayors, Governors, etc., unless the article is specifically about them.

Residence Day

Key the day from the residence date as seen on the record. Residence date is the date the article was written, or the date the event in the article took place.

Where possible, key a residence date for each individual. If there are multiple individuals in an article, but only one date, key the same date for each individual. If there is no date on the record level (listed with an individual), key the date from the beginning of the article and copy down for each individual.

Residence Place

Key the residence place as seen on the record using the dictionary provided for assistance. Residence place is where the individual being keyed is from, or where the event in the article took place. Key all localities such as town, district or parish and county into the residence place field separated with a comma. If the locality is a place other than New Zealand, capture the state and country separated with a comma.

Residence place is typically found by the name after the word "of," or in a column with key words such as "Place of Abode," "Residence" or something similar. Do not key places that do not appear to be a residence. Where possible, key a residence place for each individual. If there are multiple individuals in an article, but only one place, key the same place for each individual. If there is no residence place on the record level (listed with an individual), key the residence place from the beginning of the article and copy down for each individual. If there are multiple places, key the first one to appear.

Choose the "Index" form type when the image is of an internal index. An Index usually contains names (often in alphabetical order) with a corresponding page number so as to find the individual listed. Some indexes have alphabetical tabs on the right or left margin.

Use the "Cover page, Section header, etc' form type for images that do not contain data, but might be interesting to look at because they provide context for the image set. Example: historical notes, affidavits, etc.
