Project Instructions
This collection contains letters from the Colonial Secretary to the Commandant in New South Wales, Australia.
We will be keying name, alias, event date and ship name when present. Key the names found in the margins of the bound book. When there are no names in the margins, but there are names in the body of the letter, these names may be keyed.
These records are handwritten and are therefore sometimes difficult to decipher. When names must be pulled from the body of a letter, some reading will be required.

Choose the "Record" form type for images with names in the margins or within the body of the letters to key.

Event Day
Key the day from the event date as seen on the record. Event date may be found in the heading of a letter, typically under the name of the official the letter is from and to the right of the place the letter was sent from. Copy this date to all the individuals found in the left margin of the bound book. If there are no names in the margin and names are being pulled from the letter itself, copy the event date to these individuals.
If there is no date in the letter, but a date appears under a name or in the margin, key that date. If there is no date present, you may leave this field blank.
Event Month
Key the month in its three-letter abbreviation from the event date using the dictionary provided for assistance. If the month appears as a number, key as seen. Event date may be found in the heading of a letter, typically under the name of the official the letter is from and to the right of the place the letter was sent from. Copy this date to all the individuals found in the left margin of the bound book. If there are no names in the margin and names are being pulled from the letter itself, copy the event date to these individuals.
If there is no date in the letter, but a date appears under a name or in the margin, key that date. If there is no date present, you may leave this field blank.
Event Year
Key the year from the event date as seen on the record. When there are multiple dates on an image, create a new section for each date. Event date may be found in the heading of a letter, typically under the name of the official the letter is from and to the right of the place the letter was sent from. Copy this date to all the individuals found in the left margin of the bound book. If there are no names in the margin and names are being pulled from the letter itself, copy the event date to these individuals.
If there is no date in the letter, but a date appears under a name or in the margin, key that date. If there is no date present, you may leave this field blank.
Prefix
Key any titles before the given name, such as "Dr," "Mr," or "Mrs," of the primary person as seen on the record using the dictionary provided for assistance. Only prefix values should be keyed into the prefix field, DO NOT key military ranks.
Key the names found in the margins. When there are no names in the margins, but there are names in the body of the letter, key these names. Do not key names in the body of the letter if there are names in the margins. Be careful not to key ship names into this field. Do not key signatures in the letters or the authors of the letters.
Given
Key the first name or initial and any middle names of the primary person as seen on the record using the dictionary provided for assistance. Initials should be keyed with a space between them and without entering periods.
Key the names found in the margins. When there are no names in the margins, but there are names in the body of the letter, key these names. Do not key names in the body of the letter if there are names in the margins. Be careful not to key ship names into this field. Do not key signatures in the letters or the authors of the letters.
Surname
Key the surname as seen on the record using the dictionary provided for assistance.

Do not key names in the body of the letter if there are names in the margins. Be careful not to key ship names into this field. Do not key signatures in the letters or the authors of the letters.
Suffix
Key all titles, such as "Jr" or "III", following the surname of the primary person as seen on the record using the dictionary provided for assistance.

Ship Name
Key the ship name as seen on the record using the dictionary provided for assistance. Ship name may be found underneath or to the right of names in the margin. When the ship name is underneath a name, it is often, but not always separated from the name above by a straight line.
Alias Given
Occasionally an alternate name may be recorded for a given individual. This name may be denoted by parentheses, quotation marks, or may be preceded by the word "nee". Key the first name or initial and any middle names of the alias of the primary person as seen on the record using the dictionary provided for assistance.
Alias Surname
Key any Alias Surname which appears. Occasionally an alternate name may be recorded for a given individual. This name may be denoted by parentheses, quotation marks, or may be preceded by the abbreviation "for" or the words "nee" or "formerly". Key the alias surname as seen on the record using the dictionary provided for assistance.
Alias Given
When an additional alias name is present, key that name. Do not key any more than 2 alias's per individual.

Keying Image Samples
Index
Choose the "Index" form type when the image is of an internal index. An Index usually contains names (often in alphabetical order) with a corresponding page number so as to find the individual listed. Some indexes have alphabetical tabs on the right or left margin.
Additional Image Samples
Cover page, Section header, etc
Use the "Cover page, Section header, etc' form type for images that do not contain data, but might be interesting to look at because they provide context for the image set. Example: historical notes, affidavits, etc.

Use the 'Image with no data' form type for images that do not contain data or any useful context that might be interesting for someone to look at. Example: An image containing a blank background.

Microfilm
Choose the "Microfilm" form type for all images that contain information about the microfilm reel. These are images that were introduced to the collection when it was microfilmed, and are not part of the registers. See the wiki page for examples.
