Project Instructions
This collection contains a typed index of births recorded in Montgomery County, Indiana between the years 1882 to 1920. From this index we are keying name, birth date, gender, and parents' names.

Records may or may not have column headings. When they do not have column headings, information normally appears in the following order: Primary Surname, Given Name, Father Given Name, Mother Given Name, Mother Surname/Maiden Name, Gender, Race, Birth Date, reference information.

Many of the birth records do not have a given name for the child. When no first name appears, mark the given name field as blank and key all other available information.

When keying the father's name, key the given name from the column for the father's name, and key the father's surname from the child's surname. If the name in the father's given name field is the same as the child's surname then leave the father's given name field blank and only key father's surname. (In these cases what has happened is that the father's surname has been entered, not their given name. For example, if the child's surname is Jones and the Given name for the Father also has Jones the father's name is likely not Jones Jones, so we are only keying the surname as Jones.) Do not expand any father's or mother's given names, even if they appear in an expanded form elsewhere on the record. Key all given names only as seen.

Choose the "Birth Index" form type when the image is of a list of names with birth information.

Suffix

Key all titles, such as "Jr" or "III", following the surname of the primary person to whom the record applies using a dictionary if provided for assistance. If a suffix does not appear in a dictionary then key the suffix as seen.The name will be found in the first column, sometimes contatinin the heading "Child's Name".

Surname

Key the Surname using the dictionary provided for assistance. If the surname does not appear in the dictionary then key the surname as seen.

The name will be found in the first column, sometimes containing the heading "Child's Name". Many of the birth records do not have a given name for the child. When no given name appears, mark the Given name field as blank and key all other available information.

Given

Key the first name or initial and any middle names of the primary person to whom the record pertains using a dictionary if provided for assistance. If a name does not appear in the dictionary then key the name as seen.

The name will be found in the first column, sometimes contatinin the heading "Child's Name". Many of the birth records do not have a given name for the child. When no given name appears, mark the Given name field as blank and key all other available information.

Prefix

Key any titles before the Given name using a dictionary if provided for assistance. If a prefix does not appear in a dictionary then key the prefix as seen. On birth records "stillborn", "child", "unknown", or "not stated" may appear. Key these as prefixes. If "child of Peter Pan" appears, key the complete phrase into the prefix field unless there is a father name field. If there is a father field, key "child of" as a prefix then key the father name as Peter Pan. The name will be found in the first column, sometimes containing the heading "Child's Name".

Father Given

Key the Father Given name using the dictionary for assistance. If the Father Given is not in the dictionary, key as seen.

The Father Given name will appear in the 1st column from the child's name, sometimes marked with the heading "Father's Given Name".

If the father's given name is the same as the child's surname, leave the father's given name field blank and only key father's surname. Do not expand any father's or mother's given names, even if they appear in an expanded form elsewhere on the record.

The Father's Surname will not appear with the Father's Given name. Key the Father Surname from the child's surname in the first column using the dictionary provided. If the surname does not appear in the dictionary then key the surname as seen. If the father's given name is the same as the child's surname, leave the father's given name field blank and only key father's surname. Do not expand any father's or mother's given names, even if they appear in an expanded form elsewhere on the record.

Mother Given

Key the Mother Given name using the dictionary for assistance. If the Mother Given name is not in the dictionary, key as seen. The Mother Given name will appear in the 2nd column from the child's name, sometimes marked with the heading "Mother's Maiden Name".

Mother Surname

Key the Mother Surname using the dictionary for assistance. If the Mother Surname is not in the dictionary, key as seen. The Surname name will appear in the 2nd column from the child's name, sometimes marked with the heading "Mother's Maiden Name".

Gender

Key M or F for the appropriate gender. The gender will be in the 3rd column from the child's name, sometimes marked with the heading "Sex".

Birth Day

Key the day from the birth date. The birth date will be in the 5th column from the child's name, sometimes marked with the heading "Date of Birth".

Birth Month

Key the birth month in its three letter abbreviation from the birth date. The birth date will be in the 5th column from the child's name, sometimes marked with the heading "Date of Birth".

Key the birth year from the birth date. The birth date will be in the 5th column from the child's name, sometimes marked with the heading "Date of Birth".

Keying Image Samples


Cover page, Section header, etc

Use the 'Cover page, Section header, etc' type for images that don't contain any data, but might be interesting to look at because they provide some type of context for the image set. For instance, historical notes, affidavits, and so forth.

Image with no data

Use the 'Image with no data' type for images that don't contain any data or any useful context that might be interesting for someone to look at. For instance, an image containing only the blank background or an image with a microfilm target on it.

There should be no Image with no data form types in this project.
