About this project This collection contains Muster Rolls from various posts in the state of Kansas.  On these muster rolls one can find name, birth, age, and residence.  The records are legibly handwritten so the project difficulty level is determined to be Easy.

Helpful Suggestions:
1. Please do not use periods after initials, but do separate with a space

2. Do not key in the office held - they are not prefixes.

3. Use the right form type. Lists of officers are "muster rolls". Please look at the samples on the wiki page.

4. Be sure to use town and/or county names in addition to states in birthplace.

5. Please be sure to key in the list of officers. Too many sets are having to be sent back for re-keying because the officers were not listed.


Punctuation Standards

1.  Do not use periods after initials.  Use spaces to separate letters of first and middle names.

2.  Use apostrophes and hypens as shown in names, such as O'Neil and Jones-Smith

3.  Key locations as seen.  If there is a comma between city or county and state, key it.  If there is not a comma, do not insert one.

Muster Roll - use for any image with names

Post Name

When listed, enter the name of the post as seen. On a Muster Roll, this will be the locality listed in the header area of the form written after the words "Muster Roll of Members of". On other records, such as on an Adjutant's Report or Roster of Officers, the post name may be listed in a space provided before the Post Number. Key as seen, excluding any punctuation. Use the provided dictionary for assistance.Some post names are the same as localities. For example, "Lincoln" is the post name for Post 1, but it is also the city and county of Post 258. Please do your best to make sure you're entering the data into the proper fields when fields are not clearly labeled on the forms.

Post Number

When listed, enter the Post Number. Key Post Numbers as numbers, even if they are written out as words.

Post Location

When listed, enter the location of the Post. On a Muster Roll, this will be the locality listed in the header area of the form written after the words "located at". This also follows the Post Name and Post Number. On other forms, only the locality may be listed; the post name may not be provided. Key as seen using the provided dictionary for assistance.Some post names are the same as localities. For example, "Lincoln" is the post name for Post 1, but it is also the city and county of Post 258. Post County

Enter the county of the Post. On a Muster Roll, the county can be found in the header area of the form written after the words "County of". This follows the Post Name, Post Number, and Locality. Report Year

Enter the two or four-digit year of the record as found at the top of the page.

Prefix

Key any titles before the Given name, such as "Dr", "Rev", "Mr" or "Mrs", using a dictionary if provided for assistance. Do not key military ranks or Post offices held in this field. If a prefix does not appear in a dictionary then key the prefix as seen.

Given

Key the first name or initial and any middle names of the individual. Do not use punctuation. Use the provided dictionary for assistance. If a name does not appear in the dictionary then key the name as seen. Do not expand abbreviations, for example, if it reads Wm key Wm not William.
Key any and all signatures that appear, including those in the header and the footer of the form, providing that they are legible and are not duplicates of names already listed.

Surname

Capture the Surname of the individual using the dictionary provided for assistance. If the surname does not appear in the dictionary then key the surname as seen. If the same name appears on the form more than once, and all of the other information recorded about the individual is also the same, then please only key the name once. However, if some recorded information is different, or the name is written slightly different, then key the name each time it appears.
Key any and all signatures that appear, including those in the header and the footer of the form, providing that they are legible and are not duplicates of names already listed.

Suffix

Key all titles, such as "Jr" or "III", following the surname of the primary person to whom the record applies using a dictionary if provided for assistance. If a suffix does not appear in a dictionary then key the suffix as seen.

Age

When present, key the Age of the individual. The Age field will primarily only be found on Muster Rolls. · If an Age includes years, months, and/or days then key only the years.

Birth Location

Capture the Birthplace from the record using the dictionary provided for assistance. If a location is not found in the dictionary then key the location as seen, including both city or county and state. Do NOT key periods. If the state is abbreviated, do not expand to the full state but key as seen. The Birth Location will primarily only be listed on the Muster Rolls and can be found in column titled "Birthplace". For forms that have been torn and not all columns are fully visible, do not key the birthplace if it is not complete on the image that you have. We are aware that some of the images display only a portion of the birth location. However, please do not key if you cannot read the whole birth location in full.

This form type is for capturing the images of letters.

If the letter appears to have muster roll information such as a list of names, please key it as muster roll.

Letters will be available in the completed project and can be browsed.

Cover Pages

This form is for images that don't contain any data, but might be interesting to look at because they provide some sort of context for the image set.  It includes Post Office Receipts, and Muster Rolls that are blank with only the preparer's signature.
