Project Instructions This collection contains records of Chicago and North Western Railroad employees applying for Social Security. Fields being keyed include name, birth date and place, residence or work date and place, hire date, age, parent names, death date, gender, occupation, race, and whether a Social Security Number appears on the image.

Many of the records will contain a social security number. Due to the sensitive nature of this information we ask that you keep it confidential and not share screen shots containing the number on the wiki or the message boards.

Mark an image as a "Card" form type if the record has a name to key with information.

Keying Image Samples



Prefix

Key any titles before the given name, such as "Dr," "Mr," or "Mrs," of the primary person as seen on the record using the dictionary provided for assistance. Only prefix values should be keyed into the prefix field.

Given

Key the first name or initial and any middle names of the primary person as seen on the record using the dictionary provided for assistance. Initials should be keyed with a space between them and without entering periods.

Name can be found near the words "Name" or "Employee Name."

Surname

Key the surname as seen on the record using the dictionary provided for assistance.

Name can be found near the words "Name" or "Employee Name."

Suffix

Key all titles, such as "Jr" or "III", following the surname of the primary person as seen on the record using the dictionary provided for assistance.

Social Security

Key "Y" if there is a Social Security number on the image. Key "N" if there is NOT a Social Security number on the image.

The Social Security number can be found near the words "Social Security No.," "S.S.," or "S.S. No." and is in 000-00-0000 format. The Social Security number is present in various locations and sometimes multiple instances on an image.

NOTE: DO NOT KEY THE SOCIAL SECURITY NUMBER. ONLY KEY "Y" OR "N" DEPENDING ON WHETHER OR NOT A SOCIAL SECURITY NUMBER IS PRESENT ON THE IMAGE.

Residence or Work Place

Key the residence or work place as seen on the record using the dictionary provided for assistance. Separate any geographical locations with a comma (example: Chicago, Illinois). Do not key the zip code numbers.

Residence or work place may be found near the words "City, Town, or Post Office, State," "City or Village, Postal Zone, and State," or something similar. If the image contains both a residence and a work place, only key the residence place.

Gender

Key the sex or gender as seen on the record using the dictionary provided for assistance. Gender may be checked or marked on the line labeled "Sex" or "Gender." Key the gender according to which box is checked.

Race

Key the race as seen on the record using the dictionary provided for assistance. Race may be checked or marked on the line labeled "Race," "Color," "Race or Minority Group," or "Race or Ethnic Group." Key the race according to which box is checked.

Age

Key the age as seen at the time the record was recorded. If present, age may be found next to the word "Age" or "Age at Last Birthday" and should be a number between 1 and 120.

Valid ages include numeric digits between "0" and "120" and fractions between "1/12" and "11/12." If an age includes years, months, and/or days key only the years. For example, if an age appears as 10 years, 7 months, key age as "10." If an age appears in months, such as 10 months, key age as a fraction: "10/12." If an Age includes years plus a fraction, such as 3 3/12, key only the year: "3." If the age is less than one month, key "0."

Birth Month

Key the month as an abbreviation from the birth date using the dictionary provided for assistance.

Birth date is typically in month-day-year format and can be found near the words "Date of Birth."

Birth Day

Key the day from the birth date as seen on the record.

Birth date is typically in month-day-year format and can be found near the words "Date of Birth."

Birth Year

Key the two or four digit year from the birth date.

Birth date is typically in month-day-year format and can be found near the words "Date of Birth."

Birth Place

Key the birth place as seen on the record using the dictionary provided for assistance. Separate any geographical locations with a comma (example: Chicago, Illinois).

Birth place can be found near the words "Place of Birth."

Father Given

Key the first name or initial and any middle names of the father of the primary person as seen on the record using the dictionary provided for assistance. Initials should be keyed with a space between them and without entering periods.

Father Surname

Key the surname of the father of the primary person as seen on the record using the dictionary provided for assistance.

Father name can be found near the words "Father's Full Name."

Mother Given

Key the first name or initial and any middle names of the mother of the primary person as seen on the record using the dictionary provided for assistance. Initials should be keyed with a space between them and without entering periods.

Mother name can be found near the words "Mother's Full Name Before Marriage" or something similar.

Mother Surname

Key the surname of the mother of the primary person as seen on the record using the dictionary provided for assistance.

Mother name can be found near the words "Mother's Full Name Before Marriage" or something similar.

Residence or Work Month

Key the month as an abbreviation from the residence or work date using the dictionary provided for assistance.

Residence or work date is typically in month-day-year format and can be found near the words "Date Signed." This is often the latest date on the image.

Residence or Work Day

Key the day from the residence or work date as seen on the record. The residence or work day must be between the numbers 1 and 31.

Key the two or four digit year from the residence or work date.

Hire Month

Key the month as an abbreviation from the hire date using the dictionary provided for assistance.

The hire date is typically in month-day-year format and can be found near the words "Date Entered Service." Beside the birth date this should be the earliest date on the image.

Hire Day

Key the day from the hire date as seen on the record.

The hire date is typically in month-day-year format and can be found near the words "Date Entered Service." Beside the birth date this should be the earliest date on the image.

Hire Year

Key the two or four digit year from the hire date.

The hire date is typically in month-day-year format and can be found near the words "Date Entered Service." Beside the birth date this should be the earliest date on the image.

Occupation

Key the occupation as seen on the record using the dictionary provided for assistance from the box or line labeled "Occupation" or "Occupation Title."

Death Month

Key the month as an abbreviation from the death date using the dictionary provided for assistance.

Death Day

Key the day from the death date as seen on the record.

Death Year

Key the two or four digit year from the death date.

Cover page, Section header, etc

Use the "Cover page, Section header, etc' form type for images that do not contain data, but might be interesting to look at because they provide context for the image set. Example: historical notes, affidavits, etc.

Use the 'Image with no data' form type for images that do not contain data or any useful context that might be interesting for someone to look at. Example: An image containing a blank background.

Target

Choose the "Target" form type when the image is of a color and/or gray scale target. Target images are used to determine focus and color balance in the initial digitizing process.
