Project Instructions
This collection contains the Hart's Annual Army List, published in 1908. The publication contains lists of serving, reserve and retired officers for every regiment in the British Army.

Images with names of individuals needing to be keyed should be classified as the "Army List" form type. It will typically include name, rank, date of rank, regiment, and/or a description of their military career. Images that contain a name and page numbers should be classified as "Index".

From the "Army List" images, we are keying name, rank, regiment, military date, military place, and death date where applicable. Ranks should be keyed in the rank field, and not the prefix field. Key the rank from the header of the image. Only key rank from the record level if no rank appears in a header. Do not key military jobs, such as "Squadron Officer" or "Quarter Master" into the rank field.

The military date will be typically be the latest military date in a person's entry. On images recording dates of rank, the date of the current rank (what was keyed into the rank field) should be keyed. "Retired or Half Pay" and "Placed on US List" dates should not be keyed.

Two digit years should be expanded. If it is not obvious on the image which century the year belongs to, expand years appearing between "00" and "08" to be in 1900s, everything else should be in the 1800's. Most death years will be in the 1900s.

Do not key from advertisements that appear on they images.

Choose the "Army List" form type when the image contains names that should be keyed. It will typically include name, rank, date of rank, and/or a description of their military career. Images that contain a name and page numbers should be classified as "Index".

Rank

Key the rank as seen on the record using the dictionary provided to assist you. Key the rank from the header of the image. Only key rank from the record level if no rank appears in a header. Do not key jobs, such as "Squadron Officer" or "Quarter Master" into the rank field.

Prefix

Key any titles before the given name, such as "Dr," "Mr," or "Mrs," as seen on the record using the dictionary provided to assist you.

Given

Key the first name or initial and any middle names as seen on the record using the dictionary provided to assist you. Initials should be keyed with a space between them and without entering the periods.

Surname

Key the surname as seen on the record using the dictionary provided to assist you.

Suffix

Key all titles, such as "Jr" or "III", following the surname as seen on the record using the dictionary provided to assist you.

Regiment

Key the regiment as seen on the record using the dictionary provided to assist you. Do not key the word "regiment" or any abbreviation for regiment as part of the regiment name.

Military Day

Key the day from the military date. The military date will typically be the latest military date in a person's entry. On images recording dates of rank, the date of the current rank (what was keyed into the rank field) should be keyed. "Retired or Half Pay" and "Placed on US List" dates should not be keyed.

Military Month

Key the month in its three-letter abbreviation from the military date using the dictionary provided to assist you. The military date will typically be the latest military date in a person's entry. On images recording dates of rank, the date of the current rank (what was keyed into the rank field) should be keyed. "Retired or Half Pay" and "Placed on US List" dates should not be keyed.

Military Place

Key the military place as seen on the record. The military place should be the place associated with the military date keyed. If no location is associated with the military date, then this field should be left blank.

Key the day from the death date. Entries with death dates will typically appear in the "Deaths" section of the book, found in pages 1171-1176.

Key the month in its three-letter abbreviation from the death date using the dictionary provided to assist you. Entries with death dates will typically appear in the "Deaths" section of the book, found in pages 1171-1176.

Death Year

Key the year from the death date. Two digit years should be expanded. If it is not obvious on the image which century the year belongs to, expand years appearing between "00" and "08" to be in 1900s, everything else should be in the 1800's. Most death years will be 1907. Entries with death dates will typically appear in the "Deaths" section of the book, found in pages 1171-1176.

Choose the "Index" form type when the image is of an internal index, containing names and page numbers.

Use the 'Cover page, Section header, etc' type for images that don't contain any data, but might be interesting to look at because they provide some type of context for the image set. For instance, historical notes, affidavits, and so forth.

We are not expecting there to be any "Image with no data" images.
Use the 'Image with no data' type for images that don't contain any data or any useful context that might be interesting for someone to look at. For instance, an image containing only the blank background or an image with a microfilm target on it.
