About this project This collection contains registry information that ships that came to the Glasgow Ports. Included are registrations of ships and crew lists.

Project Instructions

This is a collection of crew lists for ships whose home port was registered as Glasgow, Scotland. The lists contain information on ship voyages, crew members and apprentices. Many of the records are grouped together as agreement booklets or ship's logs.

All names should be keyed from these registers except for ship masters, owners, and those receiving the registers. The records that should be keyed will include lists of crew members, apprentices, children born on board the ship, their parents, and deceased seamen or other individuals. Each person should be keyed as a unique record.

There are several different types of records and registers that should be categorized as a crew list form type. Not all fields will be available on every different type of form. In these cases, simply key the fields that are available, and leave the ones not present blank.

There are a handful of foreign language documents in the collection, some of which contain vital records data. If you are able to either read, or decipher where the vital data is on these documents, then key the information. Otherwise, mark the image as "Cover Page, Section Header, ect."

The records may use either age or birth year so you will need to be careful and refer to the column header on the record to ensure that you are entering the correct data in the proper field and if it is not present leave the fields empty. Note that this field will remain consistent on a single page, but may change within an agreement booklet or ship's log. Rather than only keying dates as seen, where possible key a four digit year. The expected year range is 1860-1919. Average age will be 14-50.

The records may also use either birthplace or nationality fields. Older records generally have a birthplace; however newer records were filled in with either a Birthplace, or a Nationality. You will need to determine on newer records if the entry is a birthplace or a nationality. For example, a birthplace would read "Dublin" or "Sweden." Nationality would read "Irish" or "Swedish." Key the correct field, and leave the other blank.

When you encounter ditto marks key the information from the previous record that is being dittoed. Do not key ditto marks or the abbreviation "do."

Ship information pages consist primarily of the crew list cover pages and contain information regarding a ship and its voyage(s). The name of the ship, port of registry, and date are almost always present. They do not contain lists of names. Use this form type for any images that contain keyable information about the ship, but no listings of people.

Key the date that appears after words such as "Received at" and followed by "by [Name] Shipping Master" or "Signed by [Name] Master, on the...[Date]." Key the day as seen.If these form lines are blank, check for a stamped date somewhere on the page. If the form lines for the date are blank, key the year only from the stamped date.

There are a variety of forms and registers that fall into the crew list category. Any image which contains a list of people (crew members, apprentices, deceased seamen, etc.) should be classified as a crew list.

Prefix

Key any titles before the given name, such as "Dr", "Rev", "Mr" or "Mrs", using the provided dictionary for assistance, but do not key ranks aboard ship. If a prefix does not appear in a dictionary then key the prefix as seen.

Key the first name or initial and any middle names of the person. Use the provided dictionary for assistance. If a name does not appear in the dictionary then key the name as seen.

Key the surname of the person. Use the provided dictionary for assistance. If the surname does not appear in the dictionary, key the surname as seen.

Suffix

Key all suffixes, such as "Jr" or "III", following the surname of the person, using the provided dictionary for assistance. If a suffix does not appear in a dictionary then key the suffix as seen. Do not key ranks, positions, or occupations.

Age

Key the age of the crew member, apprentice, or passenger when the age column is present. Key the age according to the following rules:

  • If an age includes years, months, and/or days then key only the years. For example, if an age appears as 10 years, 7 months then key the age as 10.
  • If an age appears in months only, such as 10 months, then key the age as a fraction of twelfths ' 10/12.
  • If an age includes a fraction, such as 3 3/8, key only the whole number ' 3.The expected age range is from 14-50.

Birth Place

Key the birthplace from columns labeled:

  • Town and County where born
  • Place of Birth, stating name of Town and County
  • Nationality (If British, state birthplace)

In the case of the column labeled "Nationality (If British, state birthplace)" only key what is in that field if it is a locality. If it is a nationality, even if it says "British," key the nationality into the nationality field.Use the provided dictionary for assistance in keying the birthplace. If a location is not found in the dictionary then key the location as seen. Separate jurisdictions such as town and county with a comma.

Key the nationality from the column labeled "Nationality (If British, state birthplace)" when present. Only key what is in this field if it is a nationality. If it is a locality, key the locality into the birthplace field.Use the provided dictionary for assistance in keying. If a location is not found in the dictionary then key the nationality as seen.

2. When you encounter lists with names separated by columns enter the names in order, across and then down to the next line.
3. For lists that have separate columns enter the names in the first column and then move to the top of the next column.
4. If there are two lists with different dates create a new section for the second list.
5. You will often encounter lists where there are only names to enter.
