About this project
These records consist of nominal lists and paylists for units of the Canadian Volunteer Militia. Under the Militia and Defence Act, 1868, members of the Volunteer Militia were required to drill both regularly during the year and on an annual call out. Each member of the Volunteer Militia was compensated for the time they spent on drill, and in order to document that each member served and was paid a paylist was produced. The paylists were produced on a form by the Department of Militia and Defence and were to be filled out by each company and signed by the Officer Commanding the Company and the Commanding Officer of the Battalion. The records are arranged by companies within each battalion or regiment and then by year. A paylist will indicate the names and ranks of those receiving pay and the number of days of drill.

Year
Key the Year for which the paylist was written. The Year normally appears in the header information at the top of the Paylist form type. Often the Year follows the words "for the year ended on..." or "Drill Pay for the Year___". If two years appear, such as 1909-10, key the most recent year - 1910. Do not key month or day, key only the Year.
See Example
Rank
Key the Rank as found preceding the name of the soldier. The Rank is often found in its own column (Rank or Rang) on the Paylist and Paylist Continuation form types, or may be found in the name field. Key the Rank as seen. If some form of ditto marks appear, key the Rank from above. If there is no Rank above, mark the field blank. DO NOT EXPAND THE RANK.

Given Name
Key the Given name with the assistance of the drop-down list provided. The Given name consists of the first name or initial and any middle name or initial. If a Given name is not found in the list then key the name as seen. It is necessary to look at the name in the Name column and the Signature line in order to capture the complete name. For example, if the soldier name appears as E M Davis in the Name column but the signature is Edward M Davis, then key Edward M Davis. The signature takes precedence over name listed on left side of image unless it is signed by someone other than payee.
Key any and all signatures that appear, including those in the header and the footer of the form, providing that they are legible and are not duplicates of names already listed.
See Example
Surname
Key the Surname with the assistance of the drop-down list. If the Surname does not appear in the list then key the name as seen. Occasionally only one name appears for a soldier. When this occurs consider the name to be the Surname.
Key any and all signatures that appear, including those in the header and the footer of the form providing that they are legible and are not duplicates of names already listed.
